Scope of services
Skyloom provides website design, booking system setup, and reminder workflows for dental clinics, including no-show policy setup. Deposit/prepayment activation is optional based on clinic preference and payment rail capability. Scope is agreed in writing before work begins.
Payment terms
Once-off setup fees are payable before work begins. Monthly system fees are billed in advance. Skyloom fees are billed in ZAR for South African clients. All pricing is outlined in your proposal or agreement.
Payment & commitment
Due to the nature of custom implementation work, setup fees are non-refundable once kickoff has begun. Skyloom provides delivery-based guarantees (timeline, scope, and bug-fix support) as outlined on the website.
Ownership
The clinic owns its domain, website files, and content. Booking system accounts (such as Cal.com) are registered in the clinic’s name where possible. We do not lock you into proprietary platforms.
Deposits and no-show policies
Deposits/no-show fees are clinic policy and controlled by the clinic. If a deposit is taken, the patient agrees to the clinic’s cancellation window (for example, 48 hours). Skyloom implements the policy you choose but does not set it.
Scheduling tools may display the clinic’s policy, but do not automatically prevent cancellations or reschedules; enforcement is the clinic’s responsibility.
We provide templates for convenience only. Skyloom does not provide legal or medical compliance advice, and clinics should review policies with their own legal counsel.
Many clinics use a small deposit (example: R200 in local currency), credited toward the visit. Your clinic controls the amount and policy.
Medical and payment responsibility
Skyloom is not the medical provider and not the payment processor. Any deposits are processed by the clinic’s payment processor on the clinic’s account.
Third-party tools
We integrate third-party tools such as Cal.com to provide booking and reminder functionality. These tools have their own terms and privacy policies. You are responsible for maintaining your own accounts and subscriptions.
Cancellation and termination
Monthly system fees can be cancelled with 30 days’ written notice after the initial 30-day period. Setup fees are non-refundable once work begins, except as covered by the delivery guarantees. Skyloom may terminate the agreement with 30 days’ notice for non-payment. Upon cancellation, your domain, website files, and booking account remain accessible to you.
Support and changes
Each package includes a defined support period and scope for minor changes. Bug fixes cover build-related issues for 90 days after launch; content changes and new functionality are excluded. System fee includes hosting, booking system monitoring, workflow maintenance, and minor wording tweaks. Excludes new pages, new automations, or major redesigns. Support requests for minor fixes and wording tweaks are handled within 3 business days. Requests outside scope are quoted separately.
Limitation of liability
We are not liable for indirect damages, lost revenue, or missed opportunities. We guarantee delivery of the agreed scope but do not guarantee revenue or patient volume.
Third-party service availability
Skyloom integrates third-party platforms (such as Cal.com) to deliver booking and reminder functionality. We are not responsible for downtime, policy changes, or feature removals by these third parties. We will notify you of any material changes that affect your system and work to implement alternatives where reasonably possible.
Governing law
These terms are governed by the laws of South Africa. Any disputes will be resolved in South African courts.
